Customer Experience Assistant, Group Trips

The Customer Experience Assistant is responsible for liaising with customers and providing administrative and operational support to Indagare’s Group Trips team, who plan and execute all aspects of Insider Journeys. Overview

The Customer Experience Assistant is responsible for liaising with customers and providing administrative and operational support to Indagare’s Group Trips team, who plan and execute all aspects of Insider Journeys. The position requires superior organizational and communication skills, as the Customer Experience Assistant will be responsible for helping to manage client communications and coordination.

What You’ll Do

  • Provide operational and administrative support; manage Salesforce records and keep track of client/trip related details.
  • Rigorously follow Indagare’s Insider Journeys standard operating procedure. Work with the Director and Group Trips Manager to ensure quality and consistency of service delivery.
  • Partner with Bookings team to arrange individual trip extensions and special participant requests. Partner with Altour to arrange individual flights for customers.
  • Act as the voice of the Insider Journeys Operations team. Partner with Content and Marketing to streamline client communication with a specific focus on delivering a seamless experience during the pre-departure phase of every trip.
  • Create customized itineraries, departure packages and packing lists for trip participants.
  • Work closely with the Group Trips Manager to put final checks and balances in place to ensure a smooth customer experience.
  • Spend time with customers answering questions about their upcoming trips. Oversee the in-box for the department and make sure new queries are answered in a timely manner.
  • Enter payments, track down deposits.
  • Coordinate transfer arrangements and independently book trip segments.
  • Offer travel insurance quotes to trip participants, track purchases and coordinate any needed claims with our insurance partner.
  • Be in constant contact with Indagare’s on-the-ground partners while the trip is in progress and make sure any needed amendments are made.
  • Provide constructive feedback to on-ground partners.
  • Analyze client satisfaction surveys.

Director of People

Reporting directly to the CFO, with a dotted line to the COO, the Head of People will lead Indagare’s People Team and manage all people-related processes, programs and strategies in support of business objectives. Position Overview

What you’ll do

Talent Management:

  • In partnership with Indagare’s Executive Team, actively own full lifecycle recruiting initiatives
  • Partner with CFO and COO to create strategy for candidate experience and talent forecasting
  • Partner with internal clients and consult with stakeholders to lead hiring strategy
  • Build and maintain social recruiting process (i.e. LinkedIn, instagram)
  • Integrate an active DEI strategy into the recruiting process
  • Source and attract candidates through networking, direct approach, referrals, university relations, etc.
  • Manage the candidate experience through our ATS, and candidate communications, acting as a candidate advocate, evaluating skill level and managing the offer process, including reference checks, salary recommendations, offer acceptance/declines, etc.
  • Partner with key business partners and managers to train on hiring and recruiting best practices (e.g. talent profile, interview skills, candidate experience)
  • Collaborate with COO on talent development programs and initiatives such as our annual leadership program
  • Work closely with department leaders on the development of a learning and development curriculum and key onboarding experience initiatives and programming
  • Work with our IT team and CFO to determine system requirements and subscriptions for an effective talent management process
  • Lead a team of one in the current People Team

Business Partner Responsibilities:

  • Act as an integral business partner to leaders, providing coaching and guidance on people-related processes and problems
  • Handle employee relations issues in partnership with supervisors
  • Run Performance Management process, ensuring compliance
  • Contribute to and help lead organizational design planning and strategy for 2022 and beyond
  • Execute and maintain determined people programs and strategies
  • Act as the liaison with external legal counsel when/if needed
  • Develop and manage the people side of a DEI strategy for the business

HR Administration:

  • Manage JustWorks PEO platform, including: payroll, benefits management and open enrollment
  • Act as gatekeeper for compliance
  • Manage HR needs for a remote team, while developing plans and processes for a future hybrid structure
  • Create internal employment letters for offers, promotions, lateral movements, and placements
  • Oversee employee perks and P+C calendar
  • In partnership with the P+C team, lead team in hosting culture events, creating known cadence and holding employees accountable for event execution
  • Oversee budget for People department, ensure accurate and timely submission of expense reports
  • Work with CFO to evaluate PEO platform, and oversee selection and implementation process of any alternatives as necessary
  • Perform other administrative tasks as needed

What you’ll bring

  • 5-7 years of relevant experience as a HR/People specialist
  • Experience leading a team with one or more direct reports
  • Experience working in a lean, dynamic startup culture preferred

Indagare is seeking a Global Experience Production Coordinator to join our team.

The Global Experience Production Coordinator will support the day-to-day operations and logistical needs of the Global Classroom, including our Indagare Clubs, Global Conversations Podcast and programming needs for various partnerships. In this role, you will execute a variety of editorial and administrative assignments; you will pitch and test programs and work directly with our partners on their planning/development, as well as host and coordinate our virtual and in-person experiences. You will be the administrative gatekeeper to the Global Classroom.

This is a highly collaborative, cross-departmental role, ideal for an organized, proactive individual who is tech savvy and excels at multitasking and taking initiative. The Global Experience Production Coordinator reports to the Global Experience Manager.

 

What You’ll Do

  • Support Global Experience Manager, the Global Experience Production Associate and the Insider Journey, plus Content and Marketing teams in the seamless delivery, promotion and production of all Global Classroom sessions and assets.
  • Handle all Global Classroom administrative functions, including seamless program management and scheduling, liaising with Indagare partners and suppliers, and community engagement.
  • Facilitate program operations, logistics (including the delivery of gifts to clients) and troubleshoot technical issues.
  • Organize and manage all classroom-supporting materials and assets such as class descriptions, terms and conditions, and photography.
  • Support HubSpot and DepositFix program sign up processes and workflow.
  • Produce relevant content for Indagare’s website, social posts and templated creative assets.
  • Edit and organize Global Classroom program recordings.
  • Manage workflows and efficiencies within the Global Classroom, working with Indagare’s Tech Team as needed.
  • Host and moderate select Global Classrooms.
  • Follow travel trends and news to keep the IGC relevant and pitch new ideas.
  • Assist with other tasks and projects as necessary and requested.

What You’ll Bring

  • 1-2 years of professional experience in travel or production
  • Strong organizational skills
  • Experience with Adobe Premiere, Vimeo, YouTube, film production work a bonus

Overview

  • Write and create content for customer journey workflows for Indagare Members, Insider Journeys participants and partner clients.

Overview

Indagare is seeking a highly motivated, organized and proactive individual to join our Finance team. As Staff Accountant, you will provide broad support across various functions, including: accounts receivable, accounts payable and general accounting.

You would be an ideal candidate for this position if you have a passion for travel, an upbeat ”can-do” attitude, possess strong organizational and communication skills and are detail-oriented. We are looking for someone who is truly excited to take ownership of the position and its growth potential.

This role is currently remote, with the option to potentially move into an NYC office in the future. 

What You’ll Do:

The Staff Accountant will be cross trained in all areas of the Finance department to provide broad support and become an integral member of the team. 

As the Indagare team grows, there is potential to further carve out and refine your own role beyond the scope, duties and responsibilities listed below. Areas included, but are not limited to:

  • Accounts Receivable:
    • Create and send invoices to hotels to collect commission payments. 
    • Apply incoming commission payments, as well as record Indagare member payments coming into our Operating and Escrow bank accounts. 
    • Assist in researching outstanding balances and support Booking and Finance staff in collections.
  • Accounts Payable: 
    • Manage incoming vendor bills through the approval process and enter approved bills into NetSuite.
    • Proactively communicate with vendors where needed to obtain bills and reconcile accounts. 
    • Enter approved bills in the bank to be paid. 
    • Review submitted travel supplier payment requests and enter into the bank for payment.
  • General Accounting:
    • Monthly hotel and touring trip reconciliation
    • Reconcile monthly activity around our Insider Journey group trips and Global Classroom virtual travel classes.
    • Bank Reconciliations
    • Review and process weekly member refunds.
    • Support the month-end close process including variance analysis.
    • Prepare journal entries, balance sheet reconciliations, and maintain all relevant supporting schedules.
    • Assist in developing processes and workflows to improve existing process and support growth.
    • Manage adhoc projects as assigned by the Controller or CFO

What You’ll Bring:

  • Bachelor’s degree in accounting
  • 2+ years of general GAAP accounting experience
  • Working knowledge of G/L including journal entries
  • Understanding of accrual accounting
  • Familiarity with accounting software (experience with NetSuite, a plus)

Position Overview

Indagare is seeking Travel Operations Assistants to join our Bookings team. Our Travel Operations staff support a Trip Designer partner, working closely with them to manage the logistical and operational needs of all trip-planning activities that enable our members to discover authentic experiences and make remarkable journeys.

What You’ll Do

  • Ensure all-important details are gathered to put together a trip itinerary. This includes:
    • Corresponding by phone and/or email with hotels and other suppliers (tour guides, ground operators, etc.) to check rates and availability
    • Making and confirming reservations and services
    • Creating and editing detailed trip itineraries
  • Establish strong relationships with travel partners and destination experts
  • Expand your knowledge of the travel industry and destinations via Indagare training to grow into a Trip Designer or Operations Lead role
  • This position is currently remote and can be based anywhere in the United States

What You’ll Bring

  • Bachelor’s degree
  • 1+ years of full-time professional experience preferred
  • A passion for travel planning and a strong desire in growing into a travel specialist
  • A natural ability to deliver excellent customer service in line with our hospitality ethos
  • Strong organizational skills with demonstrated ability to meet key milestones on time and with quality
  • Excellent attention to detail and follow-through
  • Ability to adjust to changing priorities and handle multiple assignments at once in a fast-paced, dynamic environment
  • Positive and collaborative attitude
  • Technical skills to get the job done. This includes being proficient in Microsoft Office (Word, Excel, PowerPoint) and Google Suite (Google Docs, Google Sheets). Slack, Salesforce and Zoom experience preferred
