Content Coordinator

The Integrated Content Coordinator will support Indagare’s strategic partnerships and digital content team and will be responsible for creating compelling marketing materials, copywriting, sourcing promotional photos, implementing email marketing workflows, handling the creative approval process with our internal stakeholders and external partners, and reporting key performance indicators. Overview

Indagare is looking for a Content Coordinator to join our team, reporting to the Associate Editor.

The Content Coordinator will support Indagare’s strategic partnerships and digital content team and will be responsible for creating compelling marketing materials, copywriting, sourcing promotional photos, implementing email marketing workflows, handling the creative approval process with our internal stakeholders and external partners, and reporting key performance indicators.

The role is very collaborative and will work closely with our highly productive content, creative, Global Experience, Group Trips and Marketing teams. This individual must have a strong work ethic and the ability to produce well-written, accurate, detail-oriented work in a fast-paced environment. After an agreed-upon amount of time in the position, the Content Coordinator has the opportunity for work-related travel.

What You’ll Do:

  • Generate, write and design itineraries for Insider Journeys and our partner trips.
  • Assist in writing and producing Group Trips and promotional partner sales materials and collateral and posting content to our site.
  • Produce reading lists, packing and additional materials, as needed, for Insider Journeys and Group Trips.
  • Produce (conduct photo research, build, test, send) HubSpot event invites and landing pages.
  • Help with proofing, testing and scheduling of brand emails.
  • Assist with Group Trip email correspondence and creative reviews with internal team and external partners, as needed.
  • Conduct photo research/call in photos and catalog them for all IJ and Partnerships creative, as well as newsletters, and add new images to our photo library.
  • Handle regular destination updates for Staff Travels, Website, Departure Packages and Umapped, ensuring that trip destinations are always up to date.
  • Assist with implementing customer journey workflows in our email marketing platform for partnerships and Insider Journeys.
  • Partner closely with colleagues across Insider Journeys, Marketing, Content and Global Experience Teams and act as a liaison between external partners.
  • Support new partnership opportunities, helping with decks and materials, as requested.
  • Generate reports for partners.

Director of People

What you’ll do

Talent Management:

  • In partnership with Indagare’s Executive Team, actively own full lifecycle recruiting initiatives
  • Partner with CFO and COO to create strategy for candidate experience and talent forecasting
  • Partner with internal clients and consult with stakeholders to lead hiring strategy
  • Build and maintain social recruiting process (i.e. LinkedIn, instagram)
  • Integrate an active DEI strategy into the recruiting process
  • Source and attract candidates through networking, direct approach, referrals, university relations, etc.
  • Manage the candidate experience through our ATS, and candidate communications, acting as a candidate advocate, evaluating skill level and managing the offer process, including reference checks, salary recommendations, offer acceptance/declines, etc.
  • Partner with key business partners and managers to train on hiring and recruiting best practices (e.g. talent profile, interview skills, candidate experience)
  • Collaborate with COO on talent development programs and initiatives such as our annual leadership program
  • Work closely with department leaders on the development of a learning and development curriculum and key onboarding experience initiatives and programming
  • Work with our IT team and CFO to determine system requirements and subscriptions for an effective talent management process
  • Lead a team of one in the current People Team

Business Partner Responsibilities:

  • Act as an integral business partner to leaders, providing coaching and guidance on people-related processes and problems
  • Handle employee relations issues in partnership with supervisors
  • Run Performance Management process, ensuring compliance
  • Contribute to and help lead organizational design planning and strategy for 2022 and beyond
  • Execute and maintain determined people programs and strategies
  • Act as the liaison with external legal counsel when/if needed
  • Develop and manage the people side of a DEI strategy for the business

HR Administration:

  • Manage JustWorks PEO platform, including: payroll, benefits management and open enrollment
  • Act as gatekeeper for compliance
  • Manage HR needs for a remote team, while developing plans and processes for a future hybrid structure
  • Create internal employment letters for offers, promotions, lateral movements, and placements
  • Oversee employee perks and P+C calendar
  • In partnership with the P+C team, lead team in hosting culture events, creating known cadence and holding employees accountable for event execution
  • Oversee budget for People department, ensure accurate and timely submission of expense reports
  • Work with CFO to evaluate PEO platform, and oversee selection and implementation process of any alternatives as necessary
  • Perform other administrative tasks as needed

What you’ll bring

  • Bachelor’s degree
  • 5-7 years of relevant experience as a HR/People specialist
  • Experience leading a team with one or more direct reports
  • Experience working in a lean, dynamic startup culture preferred
  • Experience managing projects from concept through completion

  • Some experience in a remote working environment is advantageous

Supplier Relationship Manager

Supplier Relations Manager

We are looking for a driven, sales-minded guru who can design, implement and launch Indagare’s hotel program, own relationships with Indagare’s suppliers, and sell partnership opportunities. You will report to the Senior Director of Marketing.

What You’ll Do:

  • Design, implement and launch Indagare’s Hotels Program. Prepare for RFPs in spring, for a soft launch in fall, and then a bigger launch in January 2023. Secure at least 200 hotels by end of year. Negotiate for amenity parity (or better) with other hotel programs and increased supplier commissions where possible.
  • Partner with Director of Content on conceiving and executing the 2022 Indagare Index magazine issue. Sell spots to participating hotels and handle the follow through, including contracts and invoicing.
  • Partner with Senior Director of Marketing on integrated marketing partnerships and sponsorship opportunities, including events and panels such as the Future of Travel Summit.
  • Negotiate special deals and promotions for Insider Journeys and Ambassadors.
  • Build and maintain relationships with Indagare’s partners, setting a regular cadence of reach outs. Work closely with them to understand their needs and to deliver innovative solutions.
  • Manage and oversee a schedule of supplier meetings and events with internal team. Ensure that supplier accounts in Salesforce have up-to-date contact information.
  • Represent Indagare in quarterly meetings with key partners, such as Four Seasons, Belmond, STARS, Rosewood, etc., and ensure sales quotas are being met.
  • Advocate with partners for team travel invitations. Work with Indagare managers to coordinate staff travel opportunities, comps, and fam trips.
  • Work with Content team and Digital Marketing Manager to drive partner engagement through various media channels, such as social media posts.
  • Represent Indagare at supplier events, such as industry lunches, and travel trade shows, such as ILTM Cannes. Scout and develop new partnerships and share with broader team.
  • Be an advocate for Bookings team and Indagare members in tricky customer situations with hotels.
  • Provide regular availability updates to Bookings team from key partners at peak times, such as Festive and spring break, to facilitate increased revenue production.

What You’ll Bring:

  • 3+ years of experience in the luxury travel industry
  • Strong understanding of the luxury travel landscape, product and customer
  • A keen eye for continuous improvement across the business
  • Deep knowledge of automation platforms and CRM, specifically Salesforce

Systems Administrator (IT)

The System Administrator is responsible for effective provisioning, installation/configuration, operation, and maintenance of systems hardware and software, network, server and related infrastructure. This individual participates in technical research and development to enable continuing innovation within the infrastructure. At a Glance

The System Administrator is responsible for effective provisioning, installation/configuration, operation, and maintenance of systems hardware and software, network, server and related infrastructure. This individual participates in technical research and development to enable continuing innovation within the infrastructure. This individual ensures that system hardware, operating systems, software systems, and related procedures adhere to organizational values, enabling all staff to function optimally within their technical environments.

This individual will assist technology leadership with the initiation and planning phases of new technical strategy. These activities include the definition of needs, benefits, and technical strategy; research & development; technical analysis and design; and support of operations staff in executing, testing and rolling-out the solutions.

This individual must be able to interpret and/or discuss information with others, which involves terminology or concepts not familiar to many people; regularly provide advice and recommend actions involving rather complex issues. This position requires a high amount of personal motivation and drive, requiring the individual to recognize issues, develop and present solutions, then move forward without constant supervision.

The Systems Administrator reports to senior technology leadership and has oversight by executive staff.

Day-to-Day Deskside Support

  • Troubleshoot problems reported by users
  • Desktop/Notebook Maintenance
  • Help users to understand and abide by acceptable use policies and procedures
  • Manage the RingCentral VOIP Phone system
  • Assist with Testing of WordPress Updates / Changes
  • Assist with Salesforce systems questions, basic administration

Maintenance Networking

  • Review Logs weekly, apply updates as necessary
  • Update Firewall Rules
  • Keep IOS and hardware on the latest firmware and patches
  • Maintain speed and consistency across wired & wireless networks
  • Maintain the VPN
  • Test network redundancy and failover quarterly

IT Administration

  • Manage Network and System Usage, apply restrictions where necessary
  • Perform daily system monitoring, verifying the integrity and availability of all hardware, server resources, systems and key processes, reviewing system and application logs, and verifying completion of scheduled jobs such as backups
  • Maintain an industry awareness for known issues, threats, and compliances and perform regular security monitoring to identify any possible intrusions
  • Apply OS patches and upgrades on a regular basis, and upgrade administrative tools and utilities. Configure / add new services as necessary
  • Diagnose hardware and software problems, and replace defective components, and make recommendations for any necessary upgrades
  • Ensure all critical systems are backed up per schedule and backups are tested regularly
  • Maintain all servers (existing and cloud-based infrastructure)
  • Setup new users, decommission departing users, and ensure user permission and file security
  • Maintain and regularly test the disaster recovery / business continuity plan
  • Perform periodic performance reporting to support capacity planning, and maintain ongoing performance tuning, hardware upgrades, and resource optimization.
  • Install new / rebuild existing servers and configure hardware, peripherals, services, settings, directories, storage, etc. in accordance with standards and project/operational requirements.
  • Maintain consistent work within established ticket management solutions.
  • Develop and maintain installation and configuration procedures.
  • Research and recommend innovative, and where possible automated approaches for system administration tasks. Identify approaches that leverage our resources and provide economies of scale.
  • Recommend changes to improve systems and network configurations, and determine hardware or software requirements related to such changes.

Position Overview

Indagare is seeking Travel Operations Assistants to join our Bookings team. Our Travel Operations staff support a Trip Designer partner, working closely with them to manage the logistical and operational needs of all trip-planning activities that enable our members to discover authentic experiences and make remarkable journeys.

What You’ll Do

  • Ensure all-important details are gathered to put together a trip itinerary. This includes:
    • Corresponding by phone and/or email with hotels and other suppliers (tour guides, ground operators, etc.) to check rates and availability
    • Making and confirming reservations and services
    • Creating and editing detailed trip itineraries
  • Establish strong relationships with travel partners and destination experts
  • Expand your knowledge of the travel industry and destinations via Indagare training to grow into a Trip Designer or Operations Lead role
  • This position is currently remote and can be based anywhere in the United States

What You’ll Bring

  • Bachelor’s degree
  • 1+ years of full-time professional experience preferred
  • A passion for travel planning and a strong desire in growing into a travel specialist
  • A natural ability to deliver excellent customer service in line with our hospitality ethos
  • Strong organizational skills with demonstrated ability to meet key milestones on time and with quality
  • Excellent attention to detail and follow-through
  • Ability to adjust to changing priorities and handle multiple assignments at once in a fast-paced, dynamic environment
  • Positive and collaborative attitude
  • Technical skills to get the job done. This includes being proficient in Microsoft Office (Word, Excel, PowerPoint) and Google Suite (Google Docs, Google Sheets). Slack, Salesforce and Zoom experience preferred
