Operations Manager, Group Trips

Position Overview:
Reporting to the Chief Operating Officer, the Operations Manager-Group Trips will lead a team of travel operations professionals in order to plan and execute all aspects of our Insider Journeys (group trips) taken by Indagare’s high-end, sophisticated clients. The position requires a strong service focus and excellent organization in order to manage a yearly calendar of 40 or more trips and the details of many clients’ individual itineraries.
What You’ll Do:
- Partner closely with Director of Group Trips and in-house destination experts in development and refinement of trip itineraries
- Partner with suppliers and local partner to finalize pricing and logistics
- Oversee the execution of Insider Journeys and other group trips in their entirety. Partner with the Director of Group Trips to ensure quality and consistency of service delivery.
- Manage a team of three or more. Motivate, coach and develop team members to help them reach their potential; grow independent performers.
- Using the Insider Journeys standard operating procedures as a baseline, build and refine systems, policies and procedure to ensure maximum efficiency and seamless customer experience
- Create schedules and timelines in partnership with Director of Group Trips
- Assist in logical execution of the product when needed and collaborate with other team members in the Group Trips department
- Actively follow product inventory and work with Group Trips members in sales and operations to execute on deadlines
- Provide regular, ongoing constructive feedback and coaching to team members
- Spend time on the phone with customers as needed and work closely with direct reports to bring a positive resolution to any customer issues or complaints
- Play an active role in budget, talent planning and strategy in partnership with the Director of Group Trips
- Work with accounting department and Director of Group Trips to help manage department’s P&L in order to achieve top line and profitability targets
- In partnership with the Director of Group Trips, work with like-minded affinity groups to help develop and refine trips curated to the specific interests of the group.
- Represent Group Trips Department and Indagare Travel at supplier meetings and on familiarization trips as needed
- Establish strong relationships with cross functional partners and destination experts in creative, content, marketing and membership, finance and bookings departments in order to ensure development of highest quality product

- Is a systems thinker who relishes developing and improving upon internal processes to achieve efficiencies and consistency.
- Proven ability to manage a team with hands-on coaching to motivate and develop high performers. At least 2 years of management experience.
- Excellent verbal and written communications skills are essential
- Must have a passion for travel. Experience in the travel industry is a plus.
- Is obsessed with customer service and hospitality, goes the extra mile to create magical experiences.
- Has a Bachelor’s degree and at least 2-3 years’ experience in communicating and engaging with clients with a preferred background in hospitality or event planning.
- Has a positive attitude and is solutions-centric.
- Has a passion for number and analytics
- Thrives in a fast-paced, dynamic, entrepreneurial environment and possesses an innate standard of excellence.
- Ability to effectively set key performance indicators and assess individual performance
- Must be proficient in Microsoft Office (Word, Excel, PowerPoint). Additional knowledge of Trello, Slack, NetSuite, Acrobat, WordPress, InDesign, and Photoshop preferred.
- Experience with customer relationship management software (Salesforce experience highly preferred)
- Ability to work off hours(evenings and weekends) as needed
