Operations Manager, Group Trips

Reporting to the Chief Operating Officer, the Operations Manager-Group Trips will lead a team of travel operations professionals in order to plan and execute all aspects of our Insider Journeys (group trips) taken by Indagare’s high-end, sophisticated clients. Position Overview:

Reporting to the Chief Operating Officer, the Operations Manager-Group Trips will lead a team of travel operations professionals in order to plan and execute all aspects of our Insider Journeys (group trips) taken by Indagare’s high-end, sophisticated clients. The position requires a strong service focus and excellent organization in order to manage a yearly calendar of 40 or more trips and the details of many clients’ individual itineraries.

 

What You’ll Do:

  • Partner closely with Director of Group Trips and in-house destination experts in development and refinement of trip itineraries
  • Partner with suppliers and local partner to finalize pricing and logistics
  • Oversee the execution of Insider Journeys and other group trips in their entirety. Partner with the Director of Group Trips to ensure quality and consistency of service delivery.
  • Manage a team of three or more. Motivate, coach and develop team members to help them reach their potential; grow independent performers.
  • Using the Insider Journeys standard operating procedures as a baseline, build and refine systems, policies and procedure to ensure maximum efficiency and seamless customer experience
  • Create schedules and timelines in partnership with Director of Group Trips
  • Assist in logical execution of the product when needed and collaborate with other team members in the Group Trips department
  • Actively follow product inventory and work with Group Trips members in sales and operations to execute on deadlines
  • Provide regular, ongoing constructive feedback and coaching to team members
  • Spend time on the phone with customers as needed and work closely with direct reports to bring a positive resolution to any customer issues or complaints
  • Play an active role in budget, talent planning and strategy in partnership with the Director of Group Trips
  • Work with accounting department and Director of Group Trips to help manage department’s P&L in order to achieve top line and profitability targets
  • In partnership with the Director of Group Trips, work with like-minded affinity groups to help develop and refine trips curated to the specific interests of the group.
  • Represent Group Trips Department and Indagare Travel at supplier meetings and on familiarization trips as needed
  • Establish strong relationships with cross functional partners and destination experts in creative, content, marketing and membership, finance and bookings departments in order to ensure development of highest quality product

What You’ll Bring:

  • Detail oriented with excellent project management and organizational skills that empower you to work well under tight deadlines.
  • Is a systems thinker who relishes developing and improving upon internal processes to achieve efficiencies and consistency.
  • Proven ability to manage a team with hands-on coaching to motivate and develop high performers. At least 2 years of management experience.
  • Excellent verbal and written communications skills are essential
  • Must have a passion for travel. Experience in the travel industry is a plus.
  • Is obsessed with customer service and hospitality, goes the extra mile to create magical experiences.
  • Has a Bachelor’s degree and at least 2-3 years’ experience in communicating and engaging with clients with a preferred background in hospitality or event planning.
  • Has a positive attitude and is solutions-centric.
  • Has a passion for number and analytics
  • Thrives in a fast-paced, dynamic, entrepreneurial environment and possesses an innate standard of excellence.
  • Ability to effectively set key performance indicators and assess individual performance
  • Must be proficient in Microsoft Office (Word, Excel, PowerPoint). Additional knowledge of Trello, Slack, NetSuite, Acrobat, WordPress, InDesign, and Photoshop preferred.
  • Experience with customer relationship management software (Salesforce experience highly preferred)
  • Ability to work off hours(evenings and weekends) as needed

Indagare is seeking Travel Operations Assistants to join our Bookings team. Our Travel Operations staff support a Trip Designer partner, working closely with them to manage the logistical and operational needs of all trip-planning activities that enable our members to discover authentic experiences and make remarkable journeys.

What You’ll Do

  • Ensure all-important details are gathered to put together a trip itinerary. This includes:
    • Corresponding by phone and/or email with hotels and other suppliers (tour guides, ground operators, etc.) to check rates and availability
    • Making and confirming reservations and services
    • Creating and editing detailed trip itineraries
  • Establish strong relationships with travel partners and destination experts
  • Expand your knowledge of the travel industry and destinations via Indagare training to grow into a Trip Designer or Operations Lead role
  • This position is currently remote and can be based anywhere in the United States

What You’ll Bring

  • Bachelor’s degree
  • 1+ years of full-time professional experience preferred
  • A passion for travel planning and a strong desire in growing into a travel specialist
  • A natural ability to deliver excellent customer service in line with our hospitality ethos
  • Strong organizational skills with demonstrated ability to meet key milestones on time and with quality
  • Excellent attention to detail and follow-through
